VoIP Phone System: Installation & Support
We install VoIP phone systems and handle the whole transition, including porting your existing numbers. We design the call flow first and choose the platform second, then hand over a flow diagram, dial plan and device guide. Installation typically takes 1 to 2 weeks plus porting time.
Who it is for
- Businesses with an ageing phone system and high line costs
- Companies losing calls, or unsure how many they lose
- Organisations with staff working across multiple locations
- Sites with branches wanting unified numbering
When we are NOT the right choice
- If the network cannot prioritise voice traffic
- If installation is requested with no call flow design
- If there is no willingness to port the existing numbers
PROCESS
The process
Indicative times from signature of the proposal, subject to hardware availability. Every project is shaped to the size and the needs of the client.
01Call flow inventory
We record how calls arrive today, who answers them, what happens out of hours, and where they are lost.Time: 2-5 working daysDeliverable: Diagram of the current flow
02New flow and dial plan design
We design the flow, queues, schedules and internal numbering. The platform is chosen afterwards, to fit the requirement.Time: Alongside the studyDeliverable: Flow diagram and numbering plan
03Network preparation
Voice needs its own VLAN and priority. Without it, the phone system gets blamed for problems that originate in the network.Time: Before installationDeliverable: Voice priority on the network
04Installation and porting
We install, configure devices and coordinate porting. Porting duration is set by the provider and is outside our control.Time: 1-2 weeks, plus porting timeDeliverable: Live system carrying your numbers
05Handover with documentation
We hand over the call flow diagram, dial plan and device user guide, together with administrator training.Time: On completionDeliverable: Flow diagram, dial plan and user guide

Partnerships and certifications
From practice
The conversation usually starts with hardware. In practice the system is the easy part: what determines whether it works is the call flow and the network it runs on.
When calls break up, the cause is rarely the phone system itself. It is that voice shares the network with everything else, with no VLAN of its own and no priority. That is why the network is prepared first.
Prerequisites
- A network supporting VLANs and voice priority
- Stable internet connectivity of adequate speed
- Details of current numbers and provider
- A decision on call flow and schedules
Cost
Quoted as a project with the system, handsets and configuration labour itemised. Support sits within the agreement at a monthly charge. Provider fees and call charges remain your relationship with the provider.
We do not publish a price list. Every proposal follows a site survey and separates hardware from labour.
What moves the cost
- Number of extensions and concurrent calls
- Complexity of flow, queues and schedules
- Whether new handsets are required
- Whether branch sites must be unified
