Business Email & Exchange Online

We move business email to Exchange Online with no lost messages. We configure SPF, DKIM and DMARC correctly so your mail does not land in junk folders, and the cutover runs outside working hours with a rollback plan. Data is migrated before any DNS record changes.

Who it is for

  • Businesses with email on a hosting provider or an ageing mail server
  • Companies whose messages keep landing in recipients junk folders
  • Organisations needing shared mailboxes and aliases
  • Sites that cannot absorb even one hour of email downtime

When we are NOT the right choice

  • If there is no control of the domain and its DNS zone
  • If migration is requested with no out of hours window
  • If the existing system does not permit data export

PROCESS

The process

Indicative times from signature of the proposal, subject to hardware availability. Every project is shaped to the size and the needs of the client.

  1. 01Inventory of the existing environment

We record mailboxes, shared accounts, aliases, forwarding rules and the data volume to be migrated.Time: 2-5 working daysDeliverable: Register of mailboxes, aliases and forwarding rules

  2. 02Migration design

We define migration order, the time window and the rollback plan, so there is no point in the process without a way back.Time: Alongside the studyDeliverable: Cutover plan with sequence and rollback

  3. 03Data migration

We migrate messages, contacts and calendars before the DNS change, so cutover day itself stays short.Time: Depending on volumeDeliverable: Messages, contacts and calendars in the new environment

  4. 04Cutover and DNS records

We change MX records and configure SPF, DKIM and DMARC. Without them, messages end up in junk.Time: Outside working hoursDeliverable: Live email with SPF, DKIM and DMARC

  5. 05First days monitoring

We monitor deliverability, correct what surfaces, and hand over documentation of the DNS records in force.Time: The first working daysDeliverable: DNS documentation and deliverability confirmation

From practice

Email migration is one of the few jobs where a mistake is immediately visible to the entire company. That is why data is migrated before anyone touches DNS, and the old environment stays live until everything is confirmed working.

The part most often skipped is not the migration itself, it is SPF, DKIM and DMARC. Without them email works, but messages start landing in junk folders and nobody can explain why.

Prerequisites

  • Control of the domain and access to the DNS zone
  • Access to the existing email environment for export
  • An agreed out of hours cutover window
  • A mailbox list with roles and priority

Cost

Quoted as a project, per mailbox, with data migration and cutover itemised separately. Ongoing management sits within the support agreement. Microsoft licences are billed separately.

We do not publish a price list. Every proposal follows a site survey and separates hardware from labour.

What moves the cost

  • Number of mailboxes and total data volume
  • Which system the migration starts from
  • Number of rules, aliases and shared accounts
  • Whether a phased migration is needed instead of one cutover

Frequently asked questions

Will old messages be lost?

No. Migration happens before DNS records change, and data is verified before the old environment is disconnected. The old system is not decommissioned on the same day.

How much downtime will there be?

The objective is no lost working time. Cutover runs outside working hours and DNS propagation is planned so inbound mail is not lost during the transition.

What are SPF, DKIM and DMARC, and why do they matter?

They are the records proving that mail carrying your domain genuinely came from you. Without them your messages land in junk, and your domain can be used to impersonate you.

Do I need email backup?

Yes. Exchange Online guarantees availability, not recovery of data deleted long ago or encrypted. Tenant backup is a separate service.

NEXT STEP

Move your email without downtime

We inventory the existing environment and deliver a migration plan with a window, a sequence and a rollback path.
